1. Who We Are

This site is run by USA Muaythai on Webpoint, a membership platform operated by Webpoint Technologies. USA Muaythai decides what information its members are asked for and who in the organization can see it. Webpoint Technologies stores and processes that information on its behalf and does not use it for anything else.

This policy covers this site and the member account you hold on it. It does not cover USA Muaythai’s main public website, or other systems your organization may use, which have their own policies.

In this policy, “we” means USA Muaythai, together with Webpoint Technologies acting on its behalf to run the platform.

2. What We Collect

When you create an account or join

• Your name, date of birth, gender, mailing address, email address and phone numbers.
• A username and password. The password is stored in encrypted form.
• If you turn on two-step verification, the secret for it, also stored encrypted.
• The club, team, region or chapter you belong to.
• Anything else your organization asks for on its join form, which can include citizenship, emergency contacts, medical acknowledgements, and the initials or signatures you give on waivers and consent forms. Those answers are kept with your record so the organization can show what you agreed to.
• For a member under 18, the name and contact details of the parent or guardian who manages the account.

While you are a member

• Your memberships, renewals and their dates.
• Events you register for, and results, rankings or rosters your organization records against your name.
• Certifications, courses and exams, including scores and completion dates.
• A profile photo, if you or your organization add one. Photos are resized and re-encoded before they are stored.
• A record of what was sent to you (see section 6) and of the consents you have given or withdrawn, with the date and the page where you gave them.

Background screening

Some roles, usually coaches, officials and volunteers, require a background screen. When you apply for one we collect the information the screening provider needs, which includes your Social Security number, and pass it to that provider. Your Social Security number is removed from our records once the application has been submitted; we keep the outcome of the screen and its dates, not the details behind it.

Payments

When you pay by card, the card number is sent to our payment processor to charge. What we keep against the payment is the card type, the last four digits, the processor’s reference numbers and the amounts, which is enough to show you a receipt and to answer a question about a charge later. The security code is never stored. If you pay with Google Pay or Apple Pay, we receive a one-time token from the wallet, not your card number.

Automatically

Standard web-server logs, including your IP address, and the cookies that keep you signed in (see section 4). We use Cloudflare for basic, cookie-less page analytics and to protect public forms from automated abuse. We do not use advertising or cross-site tracking cookies.

3. What Is Shown to Other People

What is visible depends on what your organization has turned on. The sections below describe what the platform can show; not every organization uses each one.

• Inside your organization. Staff of USA Muaythai, and the administrators of your region, chapter and club, can see your member record as far as their role allows. That is how memberships, eligibility and events are administered.
• Directories. An organization may publish a club directory (club name, address, phone and the name of its primary contact) and a coach or officials directory (name, city and state, current certification level, and a photo where the organization allows it). A visitor can send you a message through the site from those listings; your email address itself is not shown.
• Events. A published event shows its details and the names of its contacts. Results may list a participant’s name and hometown. In sports that publish rankings, a ranking shows name, division and the recorded performance, which in weight-class sports includes body weight.
• Your membership card. Your card carries a QR code that opens an online copy of it, so an event or club can check your standing. Anyone who scans that code sees what is on the card: typically your photo, name, date of birth, gender, membership type and expiry, club or chapter, member ID and the certifications your organization prints on it.

Directories and listings do not currently show less for a member who is under 18 than for an adult. If you are the parent or guardian of a young member, this is worth knowing before entering them in a published event or adding a photo.

4. Cookies

We set a session cookie that keeps you signed in and a short-lived cookie that identifies your account to the site. If you check “remember this browser” when completing two-step verification, a further cookie records that choice for the period your organization allows. Blocking cookies will stop you signing in. We do not set advertising cookies and we do not use Google Analytics.

5. Who We Share It With

• Your organization, its regions, chapters and clubs, as described in section 3.
• Our email and text-message providers, to deliver the messages in section 6.
• Our payment processor, to take a payment or issue a refund.
• The background screening provider, when you apply for a screen.
• Our hosting, storage and security providers, who hold and protect the data on our behalf. The platform is hosted in the United States.
• Your organization’s online learning system, if it has one, when you open a course from this site. It receives your name, email address and the membership details it needs to enroll you, so you do not have to create a separate account.
• A college recruiting service, but only if your organization offers it and you say yes on the join form. What is sent is the athlete’s name, email, phone, date of birth, graduation year and address, plus parent names and contact details. Nothing is sent if you answer no.

We do not sell personal information and we do not share it for advertising. We will disclose information if the law requires it.

6. Email and Text Messages

Your organization sends email about your membership, events and certifications, and can send news and announcements. Our email provider records whether a message was opened and which links were clicked. Text messages are sent only to a mobile number you have provided and consented to, and are transactional: confirmations, status changes and check-in messages. Mobile numbers and text-message consent records are not shared with anyone for marketing.

Every email has an unsubscribe link, and replying STOP ends text messages. You can also change both under Account Settings → Email Preferences and Text Preferences. The Communications Privacy Policy has the detail.

7. How Long We Keep It

Memberships, event entries, results and certifications are kept as a record of what happened, and are not deleted when they expire, because a member’s history is part of the organization’s records and often of their own eligibility. Changes to a record are logged with who made them. Social Security numbers are removed as described in section 2, and card numbers are never kept in full. Web-server and error logs are kept for a limited period and then discarded.

8. Your Choices

• Correct your name, contact details and other profile information from your account at any time.
• Add, replace or remove your profile photo where your organization allows members to manage it.
• Choose which email you receive, and whether you receive text messages at all.
• Turn two-step verification on or off for your account.
• Ask USA Muaythai what it holds about you, to correct something you cannot change yourself, or to close your account. Closing an account stops it being used; the membership and event records behind it stay, for the reasons in section 7.

9. Children

Many members are under 18. An account for a minor should be created and managed by a parent or guardian, and where your organization has turned it on, a parent can hold one login that manages each of their children’s memberships. Read section 3 before entering a young member in a published event or adding their photo, because the platform does not currently show less about a minor than about an adult.

10. Changes to This Policy

We will update this policy as the platform and the law change. The date at the top of this page shows when it last changed. If a change affects how your information is used or shared, we will note it on this page.
